Functional Description
The Purchasing Manager will play a critical role in optimizing our supply chain for medical device repair components, consumables, and tools. This individual will be responsible for strategically sourcing high-quality, cost-effective materials, managing supplier relationships, and ensuring the timely availability of all necessary parts to support our repair operations. The Purchasing Manager will be instrumental in maintaining compliance with all relevant medical device regulations (e.g. ISO 13485) and driving continuous improvement in procurement processes.
Scope of Outcomes
The core responsibilities for this position include:
- Strategic Sourcing & Supplier Management
- Develop and implement comprehensive purchasing strategies for medical device repair parts, consumables, and specialized tools, aligning with business objectives and growth plans
- Identify, evaluate, and qualify new suppliers based on stringent criteria including quality, reliability, cost, delivery performance, and regulatory compliance
- Negotiate favorable contracts, terms, and pricing with suppliers to achieve cost savings and optimize value without compromising quality
- Build and maintain strong, collaborative relationships with key suppliers, fostering long-term partnerships
- Conduct regular supplier performance reviews, addressing any quality or delivery issues and implementing corrective actions
- Actively research and source alternative suppliers and materials to mitigate supply chain risks and ensure continuity of supply
- Procurement Operations & Inventory Control
- Manage the end-to-end procurement process, from requisition to purchase order placement, tracking, and receipt
- Collaborate closely with the repair technicians, R&D, quality assurance, and operations teams to accurately forecast material needs and maintain optimal inventory levels
- Implement and monitor inventory management strategies (e.g., just-in-time, safety stock) to minimize carrying costs while preventing stockouts
- Resolve issues related to damaged, incorrect, or delayed shipments
- Quality & Compliance
- Ensure all procurement activities comply with internal quality management system procedures (ISO 13485)
- Participate in supplier audits and support CAPA (Corrective and Preventive Action) investigations related to component quality issues
- Maintain accurate and complete purchasing documentation, including supplier qualification records, contracts, POs, and material specifications
- Stay informed of changes in medical device regulations and industry best practices affecting procurement
- Cost Management & Process Improvement
- Analyze spend data to identify trends, cost-saving opportunities, and areas for process optimization
- Develop and track key performance indicators (KPIs) for procurement (e.g., cost savings, on-time delivery, supplier defect rate, PO cycle time)
- Drive continuous improvement initiatives within the purchasing department to enhance efficiency and effectiveness
- Prepare and present reports on procurement activities, performance metrics, and cost savings to senior management
Qualifications
Required qualifications include:
- Bachelor's degree in supply chain management, Business Administration, Engineering, or a related field
- 5+ years of progressive experience in procurement, sourcing, or supply chain management, with at least 2 years in a leadership or managerial role
- Strong understanding of procurement best practices, contract negotiation, and supplier relationship management
- Familiarity with medical device components, materials, and repair processes
- Proficiency with Enterprise Resource Planning (ERP) systems (e.g., SAP, Oracle, NetSuite) and procurement software
- Demonstrated understanding of Quality System Regulations ISO 13485
- Experience with supplier qualification in a regulated environment is essential
- Exceptional negotiation and communication (written and verbal) skills
- Strong analytical and problem-solving abilities, with a data-driven approach to decision-making
- Proven ability to drive solutions with limited directional support, demonstrating initiative and proactive problem-solving
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities and projects simultaneously
- Proven leadership and team management capabilities
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
Preferred qualifications include:
- Previous experience within the medical device, pharmaceutical, or other highly regulated industries
- Certification in Supply Chain Management (e.g., CPSM, CSCP)
- Experience with global sourcing and import/export regulations
- Understanding of Bill of Materials (BOM) structures and engineering change processes
Environmental and Physical Requirements
- Ability to lift 75 pounds
- Ability to stand for long periods of time
- Ability to travel, both domestically and internationally, for extended periods of time
- Dexterous ability to manipulate small objects
- Willing to work standard and non-standard hours as required to support the customers
