Position Overview:
The Legal Assistant is a key contributor to the Legal Department, providing high-level administrative, operational, and strategic support. This role goes beyond traditional administrative duties by helping to streamline legal operations, enhance departmental efficiency, and support cross-functional initiatives. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple, complex workflows while maintaining the highest standards of professionalism and confidentiality. Duties & Responsibilities:
- Review, draft, proofread and manage legal documents ensuring accuracy, consistency, and legal integrity.
- Draft and manage certain legal filings with governmental agencies.
- Review, draft, track and manage internal legal approvals ensuring timely responses in accordance with applicable laws and regulations.
- Conduct legal research and synthesize findings to support legal counsel and business leaders and monitor changes in the law to ensure ongoing compliance.
- Draft, manage, and track professional correspondence; respond to internal and external inquiries with clarity, professionalism, and timeliness.
- Prepare internal communications, executive-level presentations, and departmental reports to support strategic decision-making.
- Assist in the preparation, organization, and maintenance of corporate records, legal documents, and regulatory filings to ensure compliance and audit readiness.
- Organize and manage legal files and records using secure, efficient, and scalable systems.
- Coordinate document execution, collection, and closing processes across internal teams and external stakeholders.
- Oversee legal invoice processing, including review, reconciliation, and budget alignment with outside counsel billing.
- Liaise with outside counsel, title companies, service providers and governmental agencies as needed.
- Support the development and monitoring of departmental budgets, financial reporting, and expenditure tracking.
- Track and report on Legal Department performance metrics to support continuous improvement and strategic planning.
- Provide project management support for legal initiatives, including cross-functional collaboration and milestone tracking.
- Maintain corporate record books for affiliated entities and ensure timely updates.
- Schedule and manage meetings, including agenda preparation, logistics, and follow-up documentation.
- Act as a liaison to other departments, ensuring seamless communication and timely legal support for business operations.
- Provide executive-level administrative support to legal and senior leadership as needed.
- Perform other duties aligned with departmental goals and organizational priorities.
Required Skills:
- High degree of professionalism, integrity, and discretion in handling confidential and sensitive matters.
- Strong interpersonal and collaboration skills with the ability to build relationships across departments and with external partners.
- Excellent organizational, communication, and time management skills and a strong attention to detail and ability to work independently and collaboratively; ability to prioritize and manage multiple projects in a fast-paced environment.
- Clear, concise communication skills-both written and verbal-with strong attention to detail.
- Demonstrated ability to think critically, solve problems, and contribute to process improvements.
Required Qualifications:
- Associate or Bachelor's degree or significant progress toward a degree in legal studies, business, or a related field.
- Notary Public in Ohio (or ability to become an Ohio Notary Public within 90 days after hire).
- 3-5 years of experience in a legal assistant, paralegal or support role preferably in a transactional and corporate law setting.
- Proficiency in Microsoft Word, Excel, SharePoint, Teams, PowerPoint and Adobe Acrobat.
- Experience with collaboration tools and legal billing and practice management systems.
Preferred Skills:
- Paralegal certification.
- Experience supporting real estate, finance, or M&A transactions.
- Familiarity with SEC, state corporate filings, and compliance documentation.
- Experience in both law firm and in-house legal environments.
Physical Requirements:
This job operates in a professional office environment, full-time, in person, at Redwood's office in Independence, Ohio. In this role, the employee will routinely use standard office equipment such as computers, desk phones, cellular/mobile phone, photocopiers, etc. The employee is frequently required to sit, stand, bend and walk with the ability to lift 20 pounds where applicable.
