Director of Maintenance Job Description
- The Maintenance Director is responsible for overseeing maintenance operations across all WSH communities to ensure that properties remain safe, functional, and well-maintained. This role plays a vital part in recruiting and training maintenance staff, managing vendor relationships, implementing preventative maintenance programs, supporting capital improvement initiatives, ensuring compliance with safety regulations, and contributing to budget planning and cost control. The Maintenance Director is essential to maintaining operational efficiency and enhancing resident satisfaction.
Director of Maintenance Job Duties:
- Assist in the recruitment, training, and coaching of all maintenance staff.
- Conduct annual reviews and audits of all properties to ensure compliance with company maintenance policies and procedures. Develop and implement new policies as needed, with VP approval.
- Review and analyze property work orders to ensure timely and accurate completion, and verify proper entry into Yardi.
- Implement and oversee the Preventative Maintenance Program.
- Ensure compliance with all Cal-OSHA safety requirements and the property's IIPP Manual.
- Complete all company-provided training satisfactorily.
- Ensure quarterly and annual preventative maintenance tasks are completed, including changing HVAC filters, cleaning gutters, inspecting for leaks, and replacing necessary interior and exterior lighting.
- Serve as a member of the Safety Committee and promote adherence to all safety guidelines.
- Oversee timely and efficient apartment turnovers, including review of turnover scopes, in-house work or vendor assignments, and consistency of turnover checklists across properties. Benchmark turnover costs at the property, company, and industry levels.
- Collaborate with Regional Property Managers and Resident Managers to manage maintenance vendor contracts and approve vendors for use.
- Direct and supervise all capital improvement projects, including vendor selection, pricing, tracking purchases, submitting reserve requests, and coordinating with VP's, RPMs, and on-site staff.
- Oversee contracted projects to verify adherence to specifications and quality standards.
- Maintain an up-to-date inventory of all machinery, equipment, and appliances within the Yardi system.
- Assist VP's and RPMs in developing budgets for both maintenance operations and capital improvement projects.
- Contribute to strategic plans by providing maintenance-related data and insights; implement standards for productivity, quality, and customer service; resolve maintenance-related issues.
- Do not use personal tools for work-related tasks; all required tools and equipment will be provided by the company.
- Monitor maintenance expenditures, identify budget variances, and implement corrective actions as necessary.
- Support property maintenance staff in reviewing and analyzing contract bids; oversee the review and approval of all maintenance-related contracts.

- Salary: $115,000 - $120,000 annually

Director of Maintenance Qualifications: - Proven experience overseeing multiple sites or a portfolio of residential or commercial properties.
- Minimum of 5-7 years of progressive experience in property maintenance, facilities management, or a related field.
- D emonstrated ability to manage preventative maintenance programs, vendor contracts, and large-scale capital improvement projects.
- Experience with budgeting, cost control, and procurement, particularly in maintenance and facilities operations.
- Hands-on knowledge of building systems, including HVAC, plumbing, electrical, and mechanical systems.
- Familiarity with federal, state, and local building codes and safety regulations, including Cal-OSHA and IIPP compliance.
- Strong background in project management, including coordination with vendors, contractors, and cross-functional teams.
- Prior experience with maintenance-related software systems, preferably Yardi or similar property management platforms.
- Experience leading, developing, and mentoring maintenance teams, including performance management and training programs.
- Ability to interpret technical manuals, blueprints, and specifications related to building systems and maintenance procedures.
- Strong interpersonal and communication skills, with the ability to interact effectively with diverse community members, as well as management and local authorities.
- Ability to remain calm and composed in high-stress situations and demonstrate problem-solving and conflict resolution skills.
- Competence in the operation of telephone, business calculator, copy machine, facsimile, personal computer/keyboard, Microsoft Office including Word, Excel and Outlook.
- Must possess a valid Driver's License, reliable transportation and current auto insurance coverage as this position may require some driving for company business.
